Hi Sam,

Thanks for your time today. Speak soon.

Use Copy signature for Gmail, Outlook and Apple Mail. Use Copy HTML for tools that accept HTML code, such as HubSpot, Spark or some CRMs.

Getting your signature into your email

    Gmail

Settings (gear icon) → See all settings → General → Signature → Create new. Paste, then set it as the default for new emails and replies, and click Save Changes at the bottom of the page.

    Outlook

Outlook on the web and new Outlook: Settings → Accounts → Signatures. Classic Outlook for Windows: File → Options → Mail → Signatures. Paste into the editor and choose it as your default.

    Apple Mail

Mail → Settings → Signatures, choose your account, click +, and paste. Untick "Always match my default message font" or Mail will strip your formatting.

Tips for a signature that works everywhere

    • Host images properly. Use a direct link to an image file on your website. Shared-drive links don't work.
    • Keep it short. Name, role, one or two ways to contact you, and at most one call to action.
    • Send yourself a test and open it on your phone before rolling it out to a team.

How do I add the signature to Gmail?
Click Copy signature, then in Gmail go to Settings (gear icon) → See all settings → General → Signature. Create a new signature, paste it into the box, scroll down and click Save Changes.
How do I add it to Outlook?
In Outlook on the web or the new Outlook app, go to Settings → Accounts → Signatures, create a new signature and paste. In classic Outlook for Windows it's File → Options → Mail → Signatures. Then choose it as your default for new messages and replies.
How do I add it to Apple Mail?
Open Mail → Settings → Signatures, select your account, click + and paste the signature. Untick "Always match my default message font" so your formatting is kept.
Why doesn't my photo or logo show up?
Email signatures can't contain uploaded images. They load from a web address each time the email is opened. Upload your image somewhere public (your website, or an image host) and paste its full https:// address. Links from Google Drive, Dropbox or OneDrive usually don't work because they aren't direct image files.
What size should my logo or photo be?
Keep it small: about 160 × 160 pixels for a photo or up to 300 pixels wide for a logo, under 50 KB. The signature displays it at half that size, so it stays sharp on high-resolution screens.
Why are the social links text instead of icons?
Icons are images, and images in signatures are often blocked or shown as attachments until the recipient allows them. Text links always display, look clean, and never appear as mystery attachments.
